YEARLY MEMBERSHIP SERVICES 

 

The Doggy Playschool Company Limited, whose registered address is Eight Bells House, 14 Church Street, Tetbury, Gloucestershire GL8 8JG. 

This agreement contains the entire agreement between the parties and/or supersedes all previous agreements and understandings between the parties. Each party acknowledges that, in entering into this agreement, they do not rely on any representation, warranty, information or document or other term not forming part of this agreement. 

These terms and conditions are the contract between you (the client) and The Doggy Playschool Company Limited (“I“, “us”, “we”, etc.) By engaging our services, you agree to be bound by them. These terms and 
conditions are in conjunction with the Client Registration form, Veterinary Release form and Key Release Trust form and are governed by English Law. Please read this agreement carefully, your understanding and acceptance is by way of your tick on the registration form within the Collar App. 

BETWEEN 

(1) The Doggy Playschool Company Ltd 
Registered business address: Eight Bells House, 14 Church Street, Tetbury GL8 8JG 
(‘The Service Provider’) 

(2) ‘The Client’ 

The Client wishes to engage the Services of The Doggy Playschool and agrees to undertake the Membership Services as set out below and on an annual renewable basis. 

 

  1. SERVICES

1.1 The Doggy Playschool Company Limited, is a yearly membership service limited only to service active members. We will perform its Service in an attentive, reliable and caring manner, using all reasonable care, and having due regard to any relevant information set out in the registration form completed by the Client. For the avoidance of doubt; the registration form is the sole responsibility of the Client and should be used to inform staff of everything known at the time. 

1.2 The Doggy Playschool Company Limited shall be responsible for ensuring that it complies with all statutes, regulations, by-law codes of conduct and any other rules, relevant to the provision of its 
Services. 

1.3 Upon engagement, The Doggy Playschool Company Limited will communicate via Collar App and occasionally via social media to report any non urgent news and/or daily updates. 

1.4 The Doggy Playschool Company Limited and their employees will endeavour not to interrupt your busy day unless there is an emergency. In the event of us needing to telephone you, please be aware that we would need to speak to you urgently. 

1.5 We will endeavour to accommodate short notice / emergency bookings whenever possible, subject to feasibility and schedule. 

  1. INSURANCE

2.1 Documentation – all certification is available for inspection 

2.2 Full commercial insurance is held – comprising appropriate Public Liability, Care, Custody and Control and Key Cover. 

2.4 Disclosure Barring Service (DBS) verified. 

2.5 First Aid Certificate holder. 

  1. INDEMNITY AND LIABILITY

3.1 The Doggy Playschool Company Limited will do its best to return the Clients dog/s with all the accessories he/she arrived with, however, shall not be held liable for any damage or loss of property, including but not limited to collars, leads and coats. 

3.2 The Client shall accept full liability and responsibility for any event occurring or arising from the behaviour or characteristics of their dog. 

3.3 The Client is responsible for any veterinary bills for their dog/s, regardless of how they occurred, whilst their dog/s is under the care of The Doggy Playschool Company Limited. 

3.4 Whilst it will make every effort to ensure the safety of a dog, the Doggy Playschool will not be held liable for any loss, illness, injury or unplanned pregnancy of any dog in its care, nor death of a dog unless The Doggy Playschool Company can be shown to be negligent. 

3.5 We will not be liable for any failure or delay in carrying out our service where that failure or delay results from any cause that is beyond our reasonable control. Such causes include, but are not limited to: strikes, other industrial action by third parties, riots and other civil unrest, fire, explosion, flood, storms, earthquakes, subsidence, acts of terrorism (threatened or actual), acts of war (declared, undeclared, threatened, actual or preparations for war), epidemic or other natural disaster, or any other event that is beyond our reasonable control. 

3.6 If any event described under 3.5 occurs that is likely to adversely affect our service, we will inform Clients as soon as is reasonably possible. Our services may be suspended at our discretion and any time limits that we are bound by, will be extended accordingly. We reserve the right to charge a session retainer fee at our discretion. 

3.7 We will inform you when the event outside of our control is over and provide details of any new dates, times or availability of services as necessary. 

  1. CLIENTS’ OBLIGATIONS

4.1 The Client authorises The Doggy Playschool Company to carry out its services in regard to the Clients’ dog/s and agrees that all information provided is true to the best of their knowledge and belief. 

4.2 The Client shall provide to Doggy Playschool all pertinent information necessary for the provision of its services to the Clients dog/s. 

4.3 The Client shall ensure that The Doggy Playschool Company Limited has access to the Client’s house or other specified location during days on which the Clients dog/s are due to attend Doggy Playschool. If staff are unable to access a clients house to safely return their dog, then the Doggy Playschool reserves the right to charge the Client a late fee. 

4.4 All dogs must have a microchip ID as a legal requirement. 

4.5 All dogs must be fully vaccinated and up to date with worm and flea treatment. Any dog deemed not to be adequately treated will not be allowed on site. Evidence of up-to-date vaccinations is required. 

4.6 We require that the Client holds appropriate pet insurance and ask that a current and valid certificate of insurance is uploaded onto Collar annually. 

4.7 The Client agrees to indemnify and hold harmless The Doggy Playschool Company Limited and/or employees or volunteer staff, of any key / entry related occurrences and/or damage to property, if other third parties also have access to your home. 

4.8 The Client must disclose whether their dog is subject to any control orders, breaches or prosecutions, particularly those under the Animal Welfare Act, the Dangerous Dogs Act, or its amendments.  

4.9 The Client must advise as soon as possible, any adverse health issues with their dog. 

4.10 The Client agrees to reimburse the Doggy Playschool for any additional fees for providing emergency care, as well as any expenses incurred for unexpected visits, transportation, housing, food or supplies. 

  1. VACCINATIONS AND WORMING

5.1 The Client will provide proof of up-to-date vaccinations. The Client further confirms that their dog/s will continue to receive annual boosters as advised by their vet. 

5.2 It is a prerequisite that all Doggy Playschool dogs be wormed at least every three months and treated for fleas and ticks every month, and the Client confirms that they will guarantee to do this. 

  1. FEMALE DOGS

6.1 The Client confirms they will inform Doggy Playschool if their female dog/s comes into season and acknowledge that their female dog/s will not be permitted to attend Doggy Playschool during this time and until their season has ended and there is no longer a risk of pregnancy. The Doggy Playschool accepts no responsibility in the event of a dog becoming pregnant. 

  1. MALE DOGS

7.1 After the age of 13 months Doggy Playschool will require a conversation with all dog owners about the requirement of castration. This is due to safety and harmony within the playschool setting and we will work with clients and follow the advice of their veterinary surgeon on this subject. 

  1. AGGRESSIVE BEHAVIOUR

8.1 The Client will be responsible for all medical expenses and damages resulting from an injury caused by their dog/s to any employee at The Doggy Playschool Company Limited or any other person, as a 
result of their dog/s behaviour 

8.2 The Client shall fully indemnify The Doggy Playschool Company Limited in respect of costs and damages arising from any claims from any persons suffering either injury or death by aggressive behaviour from the Clients dog/s. 

  1. EMERGENCY VETERINARY CARE

9.1 The Client authorises Doggy Playschool to arrange for any emergency veterinary care that may be necessary for the Clients dog/s during the provision of services. The Doggy Playschool shall use all reasonable efforts to obtain the Clients normal veterinary surgeon to examine the dog/s wherever possible, however the Client authorises The Doggy Playschool to appoint alternative veterinary services to examine the dog/s and carry out such treatment or surgery as may be appropriate, if the dog’s normal veterinary practice is unavailable. 

 

9.2 The Client agrees to reimburse The Doggy Playschool Co Limited for any additional fees and expenses for providing emergency care. If transport to the veterinary practice is provided by The Doggy Playschool, the client will be charged £15 to cover staff time and transport costs. 

10.FEES AND PAYMENTS 

10.1 We Partner with a 3rd party Software Provider ‘Collar’ to manage all our membership subscriptions and services. All payments will go through this Application and are subject to a 1.9% payment charge. All monthly membership payments are taken in advance and all memberships are required to be registered via Collar.  

10.2 The Doggy Playschool Ltd, charges on an annual placement system, so Clients agree to pay for a full years placement via monthly instalments, whether your dog/s attend or not. However, there is always the flexibility to change the pre-booked days if required, provided that we have sufficient availability. 

10.3 Prices are normally subject to review at the start of the financial year – 1st April of any given year. 

10.4 The Doggy Playschool reserves the right to review rates and charges from time to time, out of the above period. 

10.5 Payment terms for ad hoc Doggy Playschool sessions are paid in advance, on the morning of the booking. 

10.6 Our charges are agreed at the website rates as advertised via the Collar Application 

10.7 The Doggy Playschool will apply late payment interest of 5% under the Payment of Commercial Debt (Interest) Act 1998 (as amended) and/or under our Terms and Conditions. 

10.8 Debt Recovery Action – The Doggy Playschool will instruct external debt recovery agents to pursue legal action for the recovery of monies owed, the cost of which will be added to the total amount owed by The Client. 

10.9 Any credit on a clients account is non-refundable and may only be used towards daycare bookings. 

  1. CANCELLATIONS

11.1 The Doggy Playschool Ltd reserves the right to cancel the provision of its services in the event of extreme weather conditions. Please refer to our procedures documentation. The Client will be informed at the earliest possible opportunity and will make every effort to provide services, when it is safe to do so. 

11.2 This contract can be terminated by either party at any time and a notice period of 30 days will be observed. 

  1. TERM

12.1 This Agreement shall commence upon your acknowledgement via the Collar App and continue until termination in accordance with Clauses 12.2 and 12.3 

12.2 The Agreement can be terminated with 30 days’ notice by the Client 

12.3 The Doggy Playschool reserves the right to terminate this Agreement with immediate effect if the temperament of the Clients dog is deemed unsuitable for The Doggy Playschool and/or if fees for services remain unpaid. 

 

 

  1. CONSENT

13.1 The Client gives their consent for trained Doggy Playschool staff to safely remove any external parasites, such as ticks. 

13.2 The Client gives their consent for Doggy Playschool staff to wash off their dog, after a days’ play. 

13.3 The Client gives their consent for Doggy Playschool staff to administer first aid treatment to their dog, such as cleaning and dressing minor wounds. Any consumable medical or first aid items used, will be charged to The Client at a nominal fee. 

13.4 The Client gives their consent for Doggy Playschool staff to interact positively and engage in play with their dog/s, each day they attend the Doggy Playschool. 

  1. DATA PROTECTION

14.1 The Doggy Playschool Company Limited will conform with the General Data Protection regulations (GDPR) and the Privacy and Electronic communications (EC Directive) Regulations 2003 

15.AGREEMENT  

15.1 The Agreement, constitutes the sole and entire agreement between both parties, and supersedes all prior agreements and understandings of the parties written or verbal discussions. Any alteration of this Agreement must be in writing and signed by both parties. 

15.2 A person who is not party to this Agreement has no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of this Agreement. 

15.3 The Doggy Playschool Company’s performance of this Agreement is subject to natural disasters, accidents and strikes, severe weather conditions and other conditions beyond its control. 

15.4 This Agreement shall be governed by, and in accordance with English law and shall be subject to the exclusive jurisdiction of the Courts of England and Wales 

In reviewing and ticking the box as ‘read’ in Collar, both parties acknowledge they are legally authorised and entitled to do so, and they fully understand the terms, and agree to be bound by them. 

DAYCARE PROCEDURES FOR THE DOGGY  

PLAYSCHOOL COMPANY LIMITED 

 

Transportation – Pick-up and Drop-off Procedure 

  • Doggy Playschool provides transportation to and from our playschool locations. 
  • Members of the public are only allowed on site by invitation and should never enter the fields unless accompanied by a staff member. 
  • Vans are professionally fitted with vet-approved crates suitable for different dog sizes and are equipped with either air conditioning, air vents, or heating. 
  • Each van carries emergency slip leads. 
  • Dogs should not be in transit for more than 60 minutes each way. 
  • All drivers are DBS-checked and insured for key-holding. 
  • All staff are trained in Canine First Aid. 
  • Vans are fitted with internal and external cameras for safety and review. 
  • Vans are GPS-tracked for route, speed, and performance. 
  • Dogs will be checked before returning home; any muddy dogs will be rinsed down as needed. 

 

 

 

 

 

 

 

 

 

 

 

Feeding Procedure & Food Policies 

  • Puppies requiring lunch must have food provided in a sealed, labelled container. It will be refrigerated until feeding time. 
  • Older dogs with feeding needs will be individually crated and fed as scheduled. 
  • We have fridges and clean, individual feeding equipment. 
  • We provide natural, wheat-free treats as part of our enrichment sessions. 

 

Allergy Notice: 

  • Any food allergies must be clearly recorded in the Collar App.  
  • Dogs with allergies will be placed in treat-free zones. 

 

Human foods banned on site and in vans:

Medication Procedure & Daily Monitoring 

  • We are happy to administer medication. 
  • The Collar App must be used to provide detailed medication instructions **before** medication is administered. 
  • Clients must message us once the medical notes are completed or updated to ensure staff awareness. 

 

 

Cleaning Procedures 

  • Doggy Playschool is an outdoor playschool spanning approximately 10 acres. 
  • Three main cleaning products are used: 
  1. **Diluted Bleach** (1:32 ratio) – Used in cabins and isolation areas.
  2. **TOMLYN Trifectant Surface Disinfectant** – Used for vans.
  3. **Parvo-Virucide/TOMLYN Trifectant** – Used against viruses, bacteria, fungi, and ringworm.
  • Products are stored securely in a locked cabinet, and staff are trained in their proper use and dilution. 
  • Staff wear appropriate PPE during cleaning and wash hands before and after using cleaning products. 
  • Crates and cabins are disinfected daily and deep cleaned weekly. 

 

 

 

Prevention of the spread of Disease  

  • Only dogs with up-to-date vaccinations and regular flea/worm treatment are allowed on site. 
  • Any signs of illness result in immediate isolation of the dog and owner notification. 
  • If a disease outbreak occurs, veterinary practices and all clients will be notified. 
  • Dogs displaying illness symptoms at pick-up will be left at home with owner notification. 
  • Isolation protocols include: 
  • Confined area with dedicated supervision 
  • Use of protective gear by staff 
  • Thorough disinfection of affected areas and equipment 
  • Dirty uniforms sealed and washed offsite 

 

Clients should be aware that some diseases are airborne and vaccinations, while essential, may not prevent all illnesses. 

 

 

Ensuring Animal Health and Welfare 

  • Dogs play in groups of up to 10, suited to size and personality. 
  • Activities include water play, treat games, learning tricks and mental enrichment 
  • Minimum playtime: 4 hours (full day), 2 hours (half day). 
  • Dogs are washed down before returning home, as needed. 
  • Daily reports including photos/videos are shared via the Gingr App. 

 

 

Incident Protocol 

  • Minor wounds: cleaned, documented, and reported. 
  • Serious injuries: veterinary consultation, photos taken, owner informed immediately. 
  • All dogs involved in incidents are temporarily separated, evaluated, and gradually reintroduced under strict supervision. 

 

 

Site and Escape Procedures 

  • Fencing checked daily; staff use radios for communication. 

 

In the event of an escape: 

  • Management alerted immediately. 
  • Staff deploy to surrounding area with treats and radios to search. 
  • Perimeter damage assessed and repaired. 
  • Local community and authorities notified. 
  • A senior staff member remains onsite until the dog is recovered. 

 

 

Procedure in the Event of a Dog’s Death 

  • Management is alerted, and the dog is carefully removed from the field. 
  • Owners are contacted and arrangements made as per their wishes. 
  •  Isolation room is deep cleaned. 
  • Affected items and areas are handled only by designated staff. 

 

 

Suspension of License Contingency Plan 

  • Temporary service adaptation: staff-led dog-walking packs using existing vans. 
  • Staff retained and routines adapted until licensing issues are resolved. 

 

Loss of Electricity or Water Contingency Plan 

Electricity: 

  • Backup generator available onsite. 

Water: 

  • Large water tank and water butts available for emergency use. 
  • Bottled water used for spot-cleaning. 
  • Crates/isolation rooms marked out of use until cleaning can resume. 
  • Full deep clean completed once water service is restored. 

 

 

Emergency Procedures – Fire or Other Extreme Conditions 

  • All dogs moved to a designated safe area immediately. 
  • Owners notified promptly. 
  • If entire site is unsafe, dogs are taken home early and home-walking routines are arranged. 
  • If only part of the site is affected, attendance is reduced and alternative care plans offered. 
  • Staff remain with dogs until all are safely returned home. 

Extreme Weather Policy 

Hot Weather: 

  • Temperatures above 28°C trigger closure or switch to home visits. 
  • Dogs already onsite are cooled and returned home early. 
  • Two daily home visits to ensure toilet access and hydration. 
  • Air-conditioned cabins available. 

 

Cold Weather: 

  • Collections attempted if safe. 
  • Clients notified if transport becomes unsafe. 
  • Dogs must wear warm and waterproof coats. 
  • Heated cabins used during extreme cold. 
  • Playschool may close early if temperatures fall below -4°C. 

 

 

 

Staff Training Policy 

  • All staff undergo ongoing training and canine first aid certification. 
  • Regular 1:1 meetings and emergency drills ensure staff are prepared and competent 
  • Weekly meetings cover: 
  • Cleaning 
  • Socialisation 
  • Dogs with additional needs 
  • Playzone planning 
  • Seasonal events 
  • Fire safety 

 

 

 

 

Safe Play Procedures 

  • Treat-based games and structured socialisation are used to keep dogs engaged. 
  • Overstimulated dogs are given quiet time to reset. 
  • High intensity  play is moderated to ensure safe, calm group interactions. 

 

 

 

Collars and Tags Procedure 

  • Tags and trackers removed on arrival to prevent injury during play. 
  • Properly fitted collars may remain on during low-intensity periods.
